The purpose of this Privacy Policy is to ensure that individuals understand how we process their information.

 

About us

Newbridge Kenpo Karate Academy (NKKA) is a Martial Arts & Fitness club. We are a full-time Academy that teaches Kenpo Karate under the instruction of Senior Professor Edward Downey 9th Degree Blackbelt and director of the European Kenpo Karate Association (EKKA). Our aim is to pass on the knowledge of Kenpo Karate to students young and old.

What data we will collect

On becoming a member, the club will need to collect certain information about you which will include your name, date of birth, gender, email address, address, telephone number, names of any affiliated clubs that you are a member of and details of any Karate coaching or officiating licenses you hold. We will also collect the full name and telephone number of the emergency contact(s) nominated by you, as well as details of injuries or medical conditions as provided by you. You may also choose to provide us with other information.

Why do we collect data

  • Name, Date of Birth and gender – used for membership, training classes, club competitions.

  • E-mail and address – used to provide club information, updates to class times, booking confirmations, awards, belt certificates.

  • Telephone number – Booking reminders via text and for emergency contacts nominated by you

  • Injuries or Medical conditions – To ensure the safety of students training at NKKA

 

How we communicate with site visitors
We may contact you to notify you regarding your account, to troubleshoot problems with your account, to resolve a dispute, to collect fees or monies owed, to poll your opinions through surveys or questionnaires, to send updates about our club, or as otherwise necessary to contact you to enforce our User Agreement, applicable national laws, and any agreement we may have with you. For these purposes, we may contact you via email, telephone, text messages, and postal mail.


How we store your data
Our club is hosted on the Wix.com platform. Wix.com provides us with the online platform that allows us to sell our products and services to you. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall.  
All direct payment gateways offered by Wix.com and used by our club adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, American Express and Discover. PCI-DSS requirements help ensure the secure handling of credit card information by our store and its service providers.

Roles
As a site-owner, we are considered the Controller of the club’s site-visitors’ data. This means that the club are the one who is choosing what data to collect from our site-visitors and we decide how it will be handled.
Wix.com is a Processor for our site-visitors’ data. This means that Wix will only process our site-visitors’ data following our instructions and on our behalf. Wix.com will not process our site-visitors’ data for their own benefit.

Guidance on how long this club we will keep your data

We will retain your Data for such time as you are a club member registered with us and will then delete your information on a staged basis as follows:

  • Name, date of birth, gender, email address, address, telephone number, names of the affiliated clubs that you are a member of and details of any coaching or officiating licenses you hold - Data will be deleted one year after an individual has last renewed their membership with the club.

  • Data on any injuries, medical conditions etc as provided by you to NKKA - One year or on the receipt of a new club annual membership form

  • Membership forms - Deleted after 2 years

  • Vetting data, ID forms and application forms - Deleted Four years after the receipt of a vetting application on its expiry

  • Competition results - Indefinite as a record of competition results

  • Summer Camp or other training camp applications - DeletedOne year or on the receipt of a new application 

  • Text or messaging systems - Deleted one year

Sharing your data

We may share your Data with other Karate clubs for the purposes of competition and event participation.

We will not transfer your data to any other third parties without obtaining your consent and, where possible, will anonymise your data before sharing.

We will not share any other personal data that you provide to us that is not required by the club.

 

How we communicate with site visitors

For these purposes we may contact you via email, telephone, text messages, and postal mail.

Finding out what information this club holds about you

Under the Data Protection Legislation, you can ask to see any personal information that we hold about you. Such requests are called subject access requests. If you would like to make a subject access request, please contact your club Data Protection Officer. You will also need to provide two forms of identification, for example, driving licence, utility bill or passport and, if appropriate, any particulars about the source or location of the information you are requesting. Your club has 30 days to respond to your subject access request.

Complaints

If you have any concerns or complaints in relation to how the club collects and/or processes your personal data, you should contact your Club Data Protection Officer in the first instance.

If you are dissatisfied with how your concern/complaint is dealt with by this club you have the right to report your concern/complaint to the Club Data Protection Commissioner (www.dataprotection.ie).
